Forward It and Forget It: How to Reduce Your Mental Load With SimpliHome's AI
It's 11:47pm.
You're finally in bed. And then it hits you — the dentist sent a confirmation email this morning. You meant to put it in the calendar. You didn't. Now it's rattling around in your head alongside the school trip permission slip, the boiler service that needs booking, and the fact that someone (you?) said you'd arrange a birthday thing for next month.
This is what the mental load actually looks like. Not dramatic. Just constant.
And the reason it keeps happening isn't that you're disorganised. It's that the volume of information passing through a modern household is genuinely unreasonable — and the expectation is that one person (usually you) will manually process all of it.
SimpliHome has a feature that changes this. And once you've used it, manually transferring information from emails to your calendar feels as archaic as writing things in a Filofax.
#The Email Problem Nobody Talks About
Your inbox is full of things that need to become calendar events.
The problem is the gap between "information arriving" and "information being acted on."
- School sends a newsletter with the next parents' evening date buried in paragraph four.
- The NHS app sends a confirmation email for your daughter's eye test.
- The garage sends a reminder that your MOT is booked for Tuesday at 9am.
- A friend sends an email confirming that yes, dinner is definitely on for the 14th.
Each of these requires the same manual process: open email, identify the relevant detail, open calendar, create event, type the title, set the date, set the time, close. Repeat.
It's not difficult. It's just relentless. And it's the kind of task that piles up across the day until you're lying awake at 11:47pm running through everything you haven't done.
#What Happens When You Forward It Instead
SimpliHome's AI Email Intelligence works like this:
Every Circle gets a unique email address — something like circle-abc123@mail.simplihome.co.uk. You forward any email there, and the AI reads it, works out what it is, extracts the details, and creates the right record in your Circle automatically.
For appointment confirmations: It creates a calendar event with the right date, time, location, and assigns it to the right household member if a name appears in the email.
For school messages: If there's a date in there — a parents' evening, a sports day, a trip — it pulls it out and puts it in the calendar.
For utility welcome emails and bills: It creates a bill record with the provider, account reference, monthly cost, and renewal date.
For prescription notifications: It logs the medication and dosage for the right family member.
You don't fill anything in. You don't open the calendar app. You just tap Forward, enter your Circle address, and move on with your day.
#What This Looks Like in Real Life
Here's the thing: this doesn't feel like a big technological shift when you're using it. It just feels like things stop falling through the cracks.
Monday morning. School sends an email: "Reminder — Year 5 parents' evening is Thursday 10th April at 5:30pm." You forward it. Thirty seconds later, there's a calendar event in SimpliHome. Your partner can see it too. No "Did you know about this?" conversation on Tuesday night.
Wednesday afternoon. The GP surgery sends an appointment confirmation for your youngest. You forward it. The AI picks up that it's for "Oliver Johnson" — matches him to your Circle — and creates an event on the right date, with the surgery address as the location. You'd have forgotten you even forwarded it until the reminder pops up the morning before.
Thursday evening. New broadband confirmation lands. Old broadband was a mess of monthly payments you could never quite track. You forward the email. SimpliHome creates a bill record with the provider, your account reference, and the monthly amount. In eighteen months when the contract is up for renewal, you'll get a reminder.
None of this required you to open the SimpliHome app. None of it required you to remember to do anything. You just forwarded emails you were going to read anyway.
#The Specific Emails Worth Forwarding
Not every email needs this treatment. The ones that do:
Healthcare:
- GP, dentist, optician, physio appointment confirmations
- Hospital appointment letters (if your trust sends email)
- Prescription ready notifications from the pharmacy
- Annual check-up reminders
School:
- Parents' evening dates
- Sports day, school play, concert notifications
- Trip permission slip deadlines
- INSET day confirmations
- After-school club schedules
Household:
- MOT booking confirmations
- Boiler, appliance service reminders
- Insurance policy emails
- New utility supplier welcome emails
- Subscription confirmations
Personal:
- Any event booking confirmation (theatre, concerts, restaurants)
- Holiday booking confirmations (accommodation, flights, transfers)
- Class or course booking confirmations
The AI handles a wide range of formats — formal GP letters, school newsletters, supplier emails, booking system confirmations. It's not just structured data it's looking for; it understands natural language.
#Setting Up Auto-Forwarding (So You Don't Even Have to Think About It)
If you want to go one step further, you can set up filters in Gmail or Outlook that automatically forward emails from specific senders to your SimpliHome address. Zero effort required after setup.
In Gmail:
- Settings → See all settings → Filters and Blocked Addresses
- Create a new filter
- In the From field, enter the sender (e.g.,
noreply@gpsurgery.nhs.uk) - Choose Forward it to and enter your Circle's SimpliHome address
- Done
Set this up once for your GP surgery, your children's school, your energy supplier. From that point on, every email from those senders is automatically processed and added to your Circle. You don't even need to think about it.
#What About When the AI Isn't Sure?
SimpliHome doesn't auto-create records it's not confident about. When the AI isn't certain it's understood the email correctly — an unusual format, multiple conflicting dates, ambiguous wording — it pauses and sends you a review notification instead.
You'll see what it extracted, with a simple Confirm or Dismiss option.
This matters. An AI that silently creates wrong calendar entries would be worse than no AI at all. The review flow means you stay in control while still saving the manual entry work on the vast majority of emails.
In practice, most clear appointment and booking emails go straight through automatically. The review flow kicks in for edge cases, which is exactly when you'd want a second check anyway.
#Who This Helps Most
This feature has the most impact on the person in the household who processes the most incoming information — the person who reads the school emails, books the appointments, tracks the bills, and somehow also holds all of it in their head.
That person does not have to be the only one managing everything. But they are, often by default, because they're the one who processes the information.
AI Email Intelligence doesn't redistribute the work (that's a family conversation, not a software problem). But it drastically reduces the processing burden — the reading, deciding, and manually entering that happens after every piece of information arrives.
Less processing burden means less mental load. Less mental load means more headspace for everything else.
#Getting Started
AI Email Intelligence is a Gold plan feature.
If you're already on Gold, go to Settings → Email Intelligence to find your unique Circle address and switch the feature on.
If you're not yet on Gold, visit the pricing page or upgrade from Settings → Subscription.
Once you've set it up, start with one email type — your GP surgery, or your child's school. Forward the next email that arrives. Watch it appear in the calendar.
Then try the same thing with the next one that arrives. And the one after that.
After a week, you'll have a very different relationship with your inbox. Not because it's emptier, but because the things in it stop having to live in your head.
