• How to Manage Household Member Health Records in SimpliHome

Medical emergencies don't give you time to search through your phone for a prescription list or scroll through old texts to find the GP number. They require information immediately, from whoever happens to be there.

SimpliHome's household member health records keep every person's key medical information stored, organised, and accessible to the whole household — so the right information is always available to whoever needs it.

    #Accessing Member Health Records

Health information is stored on each household member's profile.

    1. Go to Circle → Members
    2. Click on a household member's name or profile
    3. Their full profile appears, including health-related sections

Important: Health information is part of the Circle member profile system. You can store health records for both:

    • Users (household members with SimpliHome logins)
    • Member profiles (children and others without logins)

    #Allergies

Track food, drug, and environmental allergies for each household member.

    To add an allergy:

    1. Open the household member's profile

    2. Go to the Allergies section

    3. Click Add Allergy

    4. Enter:

      • Allergen — what they're allergic to (e.g., peanuts, penicillin, grass pollen)
      • Allergy type — food, drug, environmental, or other
      • Severity — mild, moderate, or severe
      • Notes — reaction details, emergency medication, avoidance tips
    5. Save

    #Why Allergy Records Matter

For meal planning: SimpliHome's recipe library can be filtered by allergy and dietary restriction. When you mark a household member's allergy, the meal planner can reflect it — showing only safe recipes when planning meals for that person.

For emergencies: If a child has a severe peanut allergy and you're not present, whoever is looking after them needs this information. Having it in SimpliHome means any household member can access it from their phone.

For prescriptions: If a household member is allergic to penicillin, this needs to be known before prescriptions are filled. A note in SimpliHome ensures it's never forgotten.

    #Prescriptions and Medications

Track all medications for each household member.

    To add a prescription:

    1. Open the member profile
    2. Go to Prescriptions
    3. Click Add Prescription

    Information to record:

    • Medication name — e.g., "Metformin", "Salbutamol Inhaler"
    • Dosage — e.g., "500mg" or "2 puffs"
    • Frequency — e.g., "Twice daily with food", "As required"
    • Prescribing doctor — for reference
    • Pharmacy — where the prescription is filled
    • Notes — any additional instructions or reminders

    #Prescription Notifications (Email AI)

If you use the AI Email Intelligence feature (Gold), prescription notifications from your pharmacy can be automatically captured and added to the relevant member's profile — see the email AI guide.

    #Glasses and Contact Lens Prescriptions

Track optical prescriptions for each household member.

    1. Open the member profile
    2. Go to Glasses Prescription
    3. Click Add Prescription

    Record:

    • Prescription values (sphere, cylinder, axis for each eye)
    • Reading prescription vs. distance
    • Date of the prescription
    • Prescribing optician
    • Notes (e.g., "due for eye test renewal")

Why store this? When ordering glasses or contacts online, you need the prescription values to hand. Having them in SimpliHome means you can order from your phone without searching for the optician's paperwork.

    #Medical Providers

Record the medical professionals associated with each household member.

    To add a medical provider:

    1. Open the member profile
    2. Go to Medical Providers
    3. Click Add Provider
Screenshot of the medical providers section showing GP, dentist, and optician entries

    Provider types you can record:

    | Type | Examples | |------|---------| | GP | Family doctor, practice name | | Dentist | Dental practice and contact | | Optician | Optician name and contact | | Specialist | Cardiologist, physiotherapist, etc. | | Therapist | Counsellor, psychologist | | School Nurse | For children's school medical contact | | Veterinary | (for household pets tracked as members) |

    For each provider, record:

    • Provider name and practice/clinic name
    • Phone number
    • Address
    • Patient registration number (where applicable)
    • Notes

    #Blood Group

Record each household member's blood group on their profile.

This information is particularly valuable in medical emergencies. Knowing a household member's blood type means medical staff can be informed quickly if the person is unable to communicate.

    #Children's Additional Information

For children in the household, the member profile includes additional sections:

    #School Information

    • School name and type (primary, secondary, etc.)
    • Year group
    • Class or form name
    • Teacher name
    • School contact number

This is especially useful for households where different adults do school pickup at different times — everyone in the Circle can see the school details without asking.

    #Passport Details

Track passport information for each household member:

    • Passport number
    • Expiry date
    • Country of issue

SimpliHome can alert you when passports are approaching expiry — essential to avoid arriving at an airport with an expired document.

    #Who Can See Health Records

Health information is stored on member profiles which are accessible to Circle admins and Family-level members.

    | Permission Level | Can view health records | |----------------|------------------------| | Admin | Yes | | Family | Yes | | Relatives | No | | Friends | No |

Relatives and Friends cannot access member profiles or health information. This is intentional — health data is private to the core household.

    #Privacy Considerations

    Health records in SimpliHome are:

    • Stored securely
    • Visible only to Circle admins and Family members
    • Not shared outside your Circle

However, use your judgement about what to store. Highly sensitive medical information (HIV status, mental health history) should be stored only if you're comfortable with all Family-level Circle members having access.

For information that needs strict privacy, consider whether SimpliHome is the right tool or whether a more controlled solution is more appropriate.

    #Building Complete Records: A Checklist

For each household member, work through this checklist:

    Immediately (high safety value):

    • [ ] Food allergies with severity
    • [ ] Drug allergies (especially penicillin, aspirin)
    • [ ] Active prescription medications with dosages
    • [ ] GP name and contact number
    • [ ] Blood group (if known)

    When you have time:

    • [ ] Dentist and optician details
    • [ ] Glasses/contact lens prescription
    • [ ] Any specialist medical providers

    For children specifically:

    • [ ] School name, year, teacher
    • [ ] School contact number
    • [ ] Any medical conditions the school is aware of
    • [ ] Passport expiry date

Completing this information once means it's available to every Circle member, forever. A few minutes of data entry now could make a significant difference in a medical situation.
